Pricing for event hardware fleet management is usually a black box - a custom quote after three discovery calls. We do it differently. Below is exactly what BFS costs: storage by the cubic meter, platform access, scalable insurance, and optional team hours billed two ways. HOW WE PRICE

Three things you always pay for. Everything else scales with what you use.

Every BFS contract starts with the same foundation: storage for your fleet, access to Biossphere Armory, and insurance scaled to your fleet's value. That's the base. It's deliberately simple - you can run a fleet with us on the base alone.

Everything beyond that scales with your actual usage. Team hours are billed only when our technicians and project managers work on your fleet - and you choose how. Packaging and shipping are billed at cost, by volume and carrier. No bundled fees you don't use, no minimums you can't see.

THE BASE · MONTHLY

What every contract includes.

PRODUCT STORAGE
€25/ m³ · month

Storage billed per cubic meter, calculated on the space your products occupy plus a 30% buffer for traffic and handling. Volume discounts apply above 40 m³ - see below.

BIOSSPHERE ARMORY ACCESS
€975/ month

Full platform access for your global and local teams - reservations, AI cart-building, conflict detection, time-tracked invoicing, settlement summaries. Includes management and support.

INSURANCE · SCALABLE
from €1/ €1,000 covered · month

Coverage scales to your fleet's value, in the warehouse and during EU and Schengen transport. €1 per month for every €1,000 of coverage, from €1,000 up to €500,000. Above that, priced individually.

The bigger the fleet, the lower the rate.

Storage rate drops as your fleet grows. The discounted rate applies to your entire fleet once you pass each threshold - not just the marginal cubic meters.

TEAM HOURS · TWO WAYS TO BILL

Pay for the work, the way that fits your fleet.

When our technicians prepare your hardware or our project managers coordinate your events, that time is billed - and you choose how. Take a package of hours up front at a lower rate, or pay only for what you use at the standard rate. Either way, every hour is logged against a specific quote line, attributed to the named team member who did the work, and visible in your Global Manager dashboard.

Reserve a block of hours each period at a reduced rate. Best when you have predictable preparation volume - recurring events, known fleet rotation. Hours beyond the package are billed at the standard rate (€60 technician, €100 PM). Unused package hours don't roll over.

Standard rates, only what you use.

No package, no commitment. Billed monthly for exactly the hours worked on your fleet - nothing more, nothing lost. Best when your event calendar is irregular or you're starting out and don't yet know your volume. Settled at the end of each month with a full breakdown.

ALWAYS INCLUDED WITH TEAM HOURS

Every hour billed comes with: a full work summary with hours attributed by role (technician / PM) and by named team member; a Quote document visible in your Global Manager dashboard; and a monthly warehouse inventory - a formal stock-confirmation document with its own automatic time tracking that starts and stops with each inventory process. Our team can also take over direct communication with your local managers and their event agencies, to take that coordination load off your side entirely.

BILLED SEPARATELY · AT COST

The two things we can't put a fixed price on.

Packaging.

Boxes, pallets, stretch wrap, and protective materials are billed monthly at cost, based on what your fleet actually needs. We don't mark these up or bundle them into a flat fee - you pay for the materials used, itemized at the end of each month.

Shipping.

Last-mile and cross-EU logistics are priced individually because the cost depends on choices you make - carrier, freight mode, route, timing. We coordinate the shipping and bill it through transparently, so you see the real cost rather than a padded logistics surcharge.

Variable costs are variable because they're honest. Everything we can fix a price on, we already have - above.

BEYOND 250 m³

Larger fleets get a custom model.

Fleets above 250 cubic meters move into custom territory - volume storage rates, dedicated warehouse allocation, custom transport engineering, and service-level terms built around your event calendar. The transparency stays; the structure adapts. Logitech G and AMD both run custom contracts at this scale.
